Training Tablets

Introduction

Paper-based practical assessment observation forms are the standard means to capture and record training outcomes.  The need to securely retain these records is a legislative requirement of the SES as a registered training organisation.

To reduce the use of paper-based assessment observational forms and move towards a digital format District Officers and units have been supplied with a Samsung S8 tablet to serve as the unit’s Training Tablet.

These Training Tablets will enable units to complete, save, and share training, assessment forms, and supporting materials digitally, both securely and effectively. 

Coupled with interactive PDF assessment and observation forms, these forms offer the user predefined tick boxes; pre-filled drop-down menus; and text fields and allow for digital signatures.  The user can engage with these forms offline and capture outcomes quickly and easily.  Once completed all documents can be stored locally and shared with SES Training.

To assist District Officers and units in fully engaging with the Training Tablet accessible below are the following resources:

Before starting, it is important that you are familiar with the File Naming Convention.

There will be two types of Assessment papers.

Group = Meaning on the assessment paper there might be a group of 6 individuals or more listed.

Individual = Meaning one assessment paper per person to be assessed.
 

Warning Icon We strongly recommend that the naming convention be followed as shown in the examples below to ensure consistency!

 

 

 


Scenario 1

Background information example:

  • Land Search Practical assessment on 24/10/2023 at Burra for 6 members
  • Let’s say the Land Search interactive assessment paper allows for 6 members to be assessed, then the file name should look like this:
    • Yearmonthday_location_Skill_to_be_assessed

In the example above the file should then be named as follows:
20231024_Burra_Land_Search.pdf (6 members listed)

Scenario 2 

Background information example:

  • Land Search Practical assessment on 25/10/2023 at Clare for 16 members
  • Let’s say the Land Search interactive assessment paper allows for 6 members to be assessed, then the file name should look like this:
    • Yearmonthday_location_Skill_to_be_assessed_01
    • Yearmonthday_location_Skill_to_be_assessed_02
    • Yearmonthday_location_Skill_to_be_assessed_03

In the example above the file should then be named as follows:

20231025_Clare_Land_Search_01.pdf (6 members listed)

20231025_Clare_Land_Search_02.pdf (6 members listed)

20231025_Clare_Land_Search_03.pdf (4 members listed)


Scenario 3

Background information example:

  • Drive Under Operational Conditions (DUOC) Practical assessment on 26/10/2023 at Sturt for 5 members
  • Let’s say the Drive Under Operational Conditions (DUOC) interactive assessment paper allows only 1 member to be assessed, then the file name should look like this:
    • Yearmonthday_location_firstname_surname_Skill_to_be_assessed

In the example above the file should then be named as follows:

20231026_Sturt_ Darcey_Salem_DUOC (1 member listed)
20231026_Sturt_ Shauna_Dean_DUOC (1 member listed)

1. Sign into the Portal

Accessing the Interactive Master Assessment Templates

2. Click on My Files.

3. Set up a Folder structure that makes sense to you for your Interactive Master Assessment PDF and all other assessment copies.

4. Navigate to the Folder ‘All Interactive Master Assessment Templates’ and select and copy the Master file.

5. Select the destination folder in your ‘My files’ structure that you have set up and click Copy there.

6. Make a copy of your Interactive Master Assessment file in your My File setup. This will allow you to go back to your original unedited Master file.

7. Select the Folder destination in your ‘My files’ structure.

Rename the Interactive Master Assessment file.

8. Open the file and pre-fill all ‘Generic information’ that is all the same on every assessment sheet on that day (such as Date/Location/Assessor etc).

9. This next step is only necessary if the number of students exceeds the number of available student fields on the 1st assessment sheet. Then you would need to start a 2nd assessment sheet. That then would mean you need to make a copy of the pre-filled PDF and save it in the same destination folder.

You will be prompted that there is already a copy, this is how to keep both copies.

10.    Rename the Pre-filled and copied PDF file. (Review the ‘naming convention’ when naming the file).

Turning on the tablet.

11. Wait until the tablet connects automatically to the es-volunteer network. An internet connection will be indicated on the top right-hand side of the tablet. It will display a WIFI icon.  If there isn’t the es-volunteer network and you need to log into another network that is accessible where you are, you need to swipe on the screen edge from the top of the tablet down. Find the WIFI icon and click/tap the icon. Find the network you like to access and enter login details. 

NOTE: Don’t forget to sign out of the network if it is a different one to SES - volunteer when you finish.

Click/Tab the ‘Sign in’ button.

12. Sign into the tablet.

13. Find the OneDrive icon on the home screen and tap on it to open.

14. Pop windows for notifications photos and videos (Your choice of ‘Allow’ or ‘Don’t allow).

Sign into OneDrive.

16. Choose the option of OneDrive Notifications.

24. Skip the annotation toolbar and open another Interactive Assessment PDF.

25. Go back into OneDrive, by tapping the back button.

28. Now you are ready to start using the Interactive Assessment PDF(s). Switch between PDFs using the tabs, zoom in and out, and fill in the interactive field.
